Privacy Policy
This Privacy Policy applies to the Mycare ESIS application ("App") provided by META16LABS HEALTHCARE AND ANALYTICS PRIVATE LIMITED ("we", "us", or "our"). The App is used to support teleconsultation, patient registration, consultation workflow, electronic medical records, prescriptions, follow-up management, and related healthcare operations.
1. Information We Access or Collect
Depending on how the App is used, we may access or collect the following categories of information:
Account and profile information
- Name, phone number, email address, postal address, gender, date of birth, age, and profile photo.
- Professional or organizational details such as doctor name, department, qualification, registration information, organization name, employee ID, or similar profile details if entered into the App.
- Login and session information, authentication tokens, and app configuration needed to keep you signed in and operate the App securely.
Health and medical information
- Patient identifiers and demographics such as patient name, UHID or medical record number, mobile number, email address, age/date of birth, gender, address, insurance details, employer or organization details, and caregiver details when entered.
- Clinical and health data such as symptoms, chief complaints, allergies, history, family history, diagnosis, working diagnosis, vitals, lab findings, investigations, procedures, medicines, prescriptions, special instructions, referral details, consultation notes, and follow-up details.
- Medical files and records such as photographs, scanned documents, prescriptions, reports, PDFs, attachments, and other files uploaded by you or generated through the App.
- Consultation workflow data such as appointment details, consultation IDs, room IDs, queue or worklist information, doctor assignment details, reminders, and treatment status.
- Teleconsultation media required to conduct audio or video consultations. Where recording, recording links, or consultation media records are enabled or returned by the relevant care workflow or backend services, those records may also be associated with the consultation.
Device, usage, and technical information
- Device type, operating system version, app version, crash or diagnostic information, IP/network information, and basic analytics or usage events.
- Push notification identifiers and subscription information used to send reminders, alerts, or workflow notifications.
- Locally stored app data such as cached records, selected patient/workflow state, and downloaded files such as prescription PDFs.
2. How We Use Information
We use the information above, including health data, to:
- create and manage user and patient records;
- schedule, coordinate, and conduct consultations, including audio and video consultations;
- document care, update electronic medical records, store allergies and diagnosis, and manage clinical workflows;
- generate, send, view, download, and retain prescriptions, medical notes, investigations, and related records;
- send appointment reminders, consultation alerts, and push notifications;
- support referrals, follow-ups, reporting, administration, and billing-related workflows where applicable;
- maintain account security, prevent misuse, troubleshoot issues, and improve app stability and performance;
- comply with legal, regulatory, safety, audit, and record-keeping obligations.
3. Permissions Used by the App
- CAMERA: To capture images or documents for patient records and to support video consultations.
- RECORD_AUDIO: To support audio and video consultations.
- READ_EXTERNAL_STORAGE and WRITE_EXTERNAL_STORAGE: To let you select, upload, view, save, or download files such as reports, prescriptions, and medical images.
- INTERNET and ACCESS_NETWORK_STATE: To connect to our servers and service providers and to operate online consultation workflows.
- DOWNLOAD_WITHOUT_NOTIFICATION: To support file and prescription download flows where available.
- VIBRATE: To provide haptic feedback.
4. Sharing of Information
We may share personal data, including health data, only as needed for the purposes described above, including with:
- authorized doctors, healthcare professionals, staff, administrators, and organizations using the App to provide care or manage healthcare workflows;
- service providers that help us operate the App, such as hosting, analytics, push notifications, teleconsultation, file delivery, and infrastructure providers;
- regulators, courts, law enforcement, or other authorities where disclosure is required by law or necessary to protect rights, safety, or compliance;
- successors or counterparties in a merger, acquisition, financing, or business transfer, subject to appropriate confidentiality and legal safeguards.
We do not sell health data. We do not use health data for personalized advertising.
5. Third-Party Services
The App may rely on third-party providers to deliver some functions. These may include services for analytics, notifications, device support, and teleconsultation. Based on the current app implementation, these providers may include Google Play Services or Google services, Firebase Analytics, OneSignal, and teleconsultation service providers used by our platform.
6. Data Retention
We retain personal data and health data for as long as needed to provide the App, maintain patient and consultation records, comply with contractual, healthcare, legal, audit, fraud-prevention, and regulatory obligations, resolve disputes, and enforce our agreements.
Uninstalling the App stops further collection from that device, but it does not automatically delete records that have already been stored on our systems or within healthcare workflows using the App.
7. Data Security
We use reasonable administrative, technical, and organizational safeguards to protect personal data and health data against unauthorized access, alteration, disclosure, or destruction. No system can be guaranteed to be 100% secure, but we work to protect the information handled through the App.
8. Children
The App is intended for use by authorized healthcare professionals, staff, and adult users. We do not knowingly allow children under 13 to create their own account in the App. If health data about a minor is entered into the App, it must be done by an authorized adult, healthcare professional, or other authorized representative.
9. Your Choices and Deletion Requests
If you want to request deletion of your data or data managed through your account, contact us at support@m16labs.com. We may need to retain certain records where required for healthcare operations, patient safety, legal obligations, fraud prevention, or dispute resolution.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the effective date on this page. Continued use of the App after an update means the updated policy will apply.
